Our Privacy Policy details the types of personal data we may collect when you purchase products, create accounts and/or request catalogues or newsletters via our website, telephone, or post with us here at Wentworth Wooden Puzzles.
Due to the changing nature of data protection, it is highly likely that we will be changing and amending our privacy policy to ensure we comply with all regulations in the future. We will notify you of any significant changes, but you can obviously come back and check them via our website whenever you wish. You will have a choice as to whether or not we use your information in this different manner. We will use information in accordance with the changed privacy policy unless you notify us that you wish to unsubscribe.
Why we need your personal data
We need your data for a number of reasons. The most common reason is because you have placed an order with us. For this we will need your name, address, delivery address and email address so we can process your order, take payment and deliver your order to you.
Email marketing using (PECR) soft op-in
We get your permission to receive marketing emails from us under what is known as a soft opt-in. The primary data protection legislation governing marketing and consent, including the opt-in and soft opt-in options, is the Privacy and Electronic Communications Regulation (PECR). This sits aside the General Data Protection Regulation (GDPR). PECR allows a soft opt in only for electronic marketing by the organisation when it is marketing similar services or products to those already received. Hence, as we will only ever send you emails about our puzzles, we are using a soft-opt in approach under PECR.
You can unsubscribe from our emails during the ordering process and at any time, i.e. by ticking the relevant box under the ‘I agree to your terms and conditions’ box which appears at the bottom of our ‘Review and Pay’ screen, or via the unsubscribe link on all our marketing emails. You can also call or write to us to ask to be removed from our email marketing list.
Postal marketing using (GDPR) legitimate interest
We get your permission using Legitimate Interest under GDPR to send our own postal marketing to you such as catalogues promoting new puzzle collections. We also use Legitimate Interest to share data with third parties for third parties to send their own postal marketing, such as catalogues. You may allow us to share your data so you can receive carefully selected postal mailings that Wentworth Wooden Puzzles or our partners, Epsilon Abacus and Experian, think you might like. Refer to the paragraph below under ‘Who do we share your personal data with’ for more information on Abacus and third party data sharing.
Under GDPR rules on Legitimate Interest, we allow customers to withdraw consent at any time, to our own postal marketing or to sharing data with third parties, by opting out initially upon collection of their data, i.e. by ticking the relevant box under the ‘I agree to your terms and conditions’ box which appears at the bottom of our ‘Review and Pay’ screen, also in any subsequent data collection forms, whether digital or printed, or by contacting us by email, phone or post.
If the law requires us to, we may need to collect and process your data – for example in line with fraud or other criminal activity and pass your details onto law enforcement.
When and what sort of personal data do we collect
We collect your personal data when you place an order with us, either online, over the phone, or via post. We also collect your personal data when you create or amend your account details, request a catalogue or sign up to receive emails from us. We also collect your product and service reviews via or 3rd party review partner, Feefo if you kindly choose to leave these.
Generally, we collect most data from you when you place an order with us. Such as title, name, billing address, delivery address, email address. We do not keep a record of your account password or any of your payment details. We may also receive data from third parties or other sources.
We may also collect notes of conversations we’ve had in order to help with customer service issues such as complaints, or faulty goods. This is to ensure you get the best possible customer service from us.
Our marketing communications are designed to tell you about the benefits we can offer, so that you have exclusive access to our best deals and information on products we think you will enjoy. We use the information we have about you to tailor the content and try to ensure that the offers are as relevant to you as possible.
To enable us to improve our offer to you and so you can also experience the best possible experience online we may also collect data on your web experience, such as which browser you are using, the country you are in, which website pages you have viewed, the advertisements you have clicked on and any search terms you may have used. Log Files – We use IP addresses to analyse trends, administer the site, track user’s movement, and gather broad demographic information for aggregate use. IP addresses are not linked to any personally identifiable information.
How we protect your personal data
Our website uses technological and operational procedures to protect our users’ information. When you submit personal information via the web site, this is protected both online and offline.
When our registration form asks you to enter personal information we use all reasonable efforts to protect user-information online and offline. Who do we share your personal data with
We also share your data with a few 3rd parties to ensure we can fulfil your orders, to improve our service to you and for tailored marketing purposes. We also share your data with data coops that use personal data for marketing purposes.
We share some of your data with Feefo, so we can get your honest feedback, they are an outside research company who we ask to contact you directly for your opinions on our service and our products. We provide them only with the information they need to perform their function.
When you sign up to receive our emails we will store your contact details and transaction history in our email marketing platform, if these details are given. This allows us to target our marketing in a way that is most relevant to you. To make sure we only send you the things you’ll love, our email partner will collect information like whether you’ve opened or clicked the email, your device type and the general area in which you open it. Should you fail to successfully complete your purchase at checkout stage this will be recorded in our email platform. Your information is used for the purposes of Wentworth Wooden Puzzles customer services contacting you with regards to your successful online purchase.
We work with Epsilon Abacus (registered as Epsilon International UK Ltd), a company that manages the Abacus Alliance on behalf of UK retailers and charities. The participating retailers are active in the clothing, collectables, food & wine, gardening, gadgets & entertainment, health & beauty, household goods, home interiors and travel categories. They share information on what their customer’s buy. Epsilon Abacus analyses this pooled information to understand consumer’s wider buying patterns. From this information, retailers can tailor their communications, sending people suitable offers that should be of interest to them, based on what they like to buy. Epsilon Abacus may transfer data outside the EEA. The transfer will take place in the presence of appropriate safeguards, including standard data protection clauses adopted by the EU Commission. You can opt-out of receiving 3rd party mailings by contacting us at any time, or by logging into your account with us and changing your subscription preference for 3rd party mailings.
Your personal data is shared with Experian Ltd for the purposes of managing a service called Club Canvasse, a home shopping and direct retailer data co-operative of which Wentworth Wooden Puzzles are members. By sharing information on what customers buy and pooling that with contributions from other members of the co-operative, the service allows Wentworth Wooden Puzzles to better understand our customers and to communicate with you more effectively. Please note, your personal information is not shared with any of the other members of the co-operative, and only aggregated data on the number and value of purchases is provided to members e.g. we will receive a report which states how many

We use a company called UniFida to help us ensure we keep all your data up-to-date and correct. Your data is therefore processed by UniFida using UK Fast as their secure cloud services provider.
Where you have opted in to receive 3rd party mailings, we may also share your name and address with carefully selected brands to send you postal marketing that we think might be of interest to you. We use a company called More2 to help us safely process and store your data.
What your rights are regarding your personal data with us
You can request to access the personal data we hold about you. You can request to correct your personal data when incorrect, incomplete, or out of date.
You can also request us to stop using your personal data for marketing purposes for email, post or 3rd party mailings.
